What You Will Do:

The Operations Coordinator will support administrative and academic operations within Accelerate U (AU) at National Louis University (NLU).  The Operations Coordinator plays a critical role in ensuring consistent and smooth operations and execution of many aspects of the AU model. The position provides administrative and operational support to key AU program delivery. This includes ordering and managing essential supplies and materials, and managing important communication to various stakeholders (including quarterbacking the AU inbox) and tracking budgetary expenses for the team.

Essential Responsibilities

  • Operations support for academic programs, including quarterly creation of program plans in Smartsheet by cohort and managing ongoing execution. This may include attending shared Ops & Academics meeting at a regular cadence to manage tasks and nudging of individuals involved.
  • Academic tracking and student communications for AU programs (program requirements, grade tracking, attendance warnings, and cert exam attempts and completion.
  • Manage biweekly execution of “Program Update” communications. This will include collaborating closely with program leads and other AU staff/faculty.
  • Coordinate Operations needs of the AU Team, including the following areas: Team Office Ops and on-ground logistics (coordinate room bookings with Facilities, maintain shared office spaces and reservation system, key/locker distribution, processing of mail and shipping, and shared management of the AU storage space).
  • AU shared inbox and calendar management.
  • Manage all supply orders for AU team (office supplies, snacks, swag, etc.) as well as for all programs excluding MA. Co-manage team celebrations process.
  • Manage credit card and invoice expenses, co-manage Expenses inbox and track in Smartsheet for AU team needs.
  • Event management for the team meetings and events (food, room, set up, etc.)
  • Orientation operations: IDs, setup and clean up, food ordering, prepping of student kits/swag for all AU programs and tech support as needed.
  • Support new AU Staff in Onboarding and maintain “AU 101” slide deck to be up to date (quarterly).
  • Manage Commencement process for AU students. This includes sending communications to AU completers, hosting Commencement prep sessions on Zoom, and working closely with NLU Commencement Committee and Director of Program Excellence & Operations.

Qualifications

  • High School Diploma/GED Equivalent; college course work preferred.
  • One plus (1+) year's experience in an administrative/office support role.
  • Excellent organizational skills
  • Excellent communication skills (written and verbal)

The salary range of the grade for this position is $19.71 to $27.60 per hour (typical workweek is 37.5 hours).  Compensation decisions are dependent upon the facts and circumstances of each position and candidate.  Offers are based on multiple factors permitted by law, including but not limited to: budgetary considerations, job-related knowledge/skills, experience, market considerations, tenure and standing with the university (applicable to current employees), and internal equity.
